As of January 1, 2025, Deželna banka Slovenije d.d. has fully transitioned to using Hibis, along with Hrc mobile and online banking

Deželna banka Slovenije had already been a partial subscriber to Hrc, having used the Hibis – Treasury module since 2001. Discussions about migrating the bank’s entire proprietary information system to the Hibis platform began in 2023. That same year, GAP workshops were conducted to assess the compatibility of the platform with the bank’s requirements and expectations.

GAP Workshops for Compatibility and Gap Analysis

The migrationprocess to Hibis typically begins with two phases of GAP workshops:
- Preparation for GAP workshops, aimed at ensuring effective and comprehensive workshops.

- Execution of GAP workshops, which take place in a structured manner with predefined objectives and detailed deliverables, such as gap analyses, action plans, recommendations, and other agreements.

The purpose of GAP workshops is to analyse the differences or gaps (GAP) between the currentand desired state within a specific process, system, or project. In this case, the focus was on analysing the bank’s existing IT system and processes while introducing the Hibis information system, including the banking operations it supports. During the workshops, the current state (existing processes, systems and practices) was examined, target goals and standards were set, gaps between the current and desired state were identified, and a roadmap was developed to bridge these gaps. GAP workshops play a crucial role in the planning phase, providing a clear overview of areas requiring change, improvement, or adjustment to achieve the desired outcomes.

Project Launch and Implementation Timeline

After successfully completing the PRE-GAP and GAP phases and aligning all formalities, the migration project officially commenced at the beginning of 2024, with a clearly defined migration date of January 1, 2025.

Migration dates are typically chosen to minimize the impact on business operations and endusers. Therefore, they are often scheduled during periods of consecutiven on-working days to reduce system strain, allow time for issue resolution, and ensure the availability of resources without conflicting with regular business activities.

Strict adherence to the project timeline and achieving set milestones are essential to meeting the established deadline, which, given the complexity of planning all activities, is not easily adjusted.

Project Execution

The project involved the simultaneous and sequential collaboration of a large team on both the client’s and Hrc’s sides. Dedicated teams are a key success factor, along with effective coordination and communication among all project stakeholders.

Key activities of this complex project included:
• Extensive testing

• Parameterization (all products, codes, settings, etc.)

• Training for all modules (advanced users, back office, branch network, etc.)

• Regular environment updates

• Performance testing

• Monitoring milestone achievements and making necessary adjustments

• Report generation

• Development and testing of GAP solutions

• Test simulations on migrated data

• Meetings: departmental, migration, internal, project-related, and project board meetings
